Best Invoice Automation Software for Small Businesses
The short answer
There is no single best invoice automation tool, because the category bundles five different jobs. If you are on Xero with low volume, Hubdoc is free and hard to beat. If you have lots of photographed receipts, Dext. If you want free bill payments and a corporate card, Ramp. If you need capture, line items and coding into QuickBooks or Xero at a flat rate, ZapBooks. If you have a real AP department with policy-driven approvals, Stampli or BILL. Match the tool to the job rather than to the category label.
We make one of the tools on this list, so read it with that in mind. We have tried to be useful rather than flattering, which means several sections below recommend something other than our own product. That is not modesty; it is that a customer who buys the wrong tool churns and tells people.
All pricing was checked against public sources in August 2026. Vendors change list prices frequently, so verify before you buy.
First, decide which job you are buying
Invoice automation bundles five jobs that different products solve to very different depths:
- 1Capture. Getting the document out of email, paper or a portal.
- 2Extraction. Reading vendor, dates, amounts, tax and line items off it.
- 3Coding. Assigning lines to the right expense accounts, jobs or funds.
- 4Approval. Routing to a human who authorises it.
- 5Payment. Moving the money.
Most small businesses need one to three. Most platform pricing assumes you want all five. That mismatch is the single biggest cause of overspending in this category.
The tools, by what they are for
Hubdoc — best free option for Xero users
Included at no extra cost with every Xero plan, listed as Smart Document Capture on Xero's US pages, and about $12 per month standalone. It collects documents, extracts header fields and publishes to Xero or QuickBooks with the source attached. It also fetches statements from banks and utility portals, which nothing on this list does better.
It does not do line items, duplicate detection, purchase order matching or approvals. For a Xero user under roughly thirty simple bills a month, none of that matters and you should keep your money.
Dext — best for receipts and bookkeeping practices
From about $31.50 per month billed monthly for the Business plan with five users and 250 documents, with Practice plans for firms starting around $239 per month for ten clients. Mobile receipt capture, email-in, supplier portal fetch and publishing to Xero, QuickBooks and Sage.
If your team photographs fuel and lunch receipts, Dext is the right tool and no inbox-based product competes. The tradeoff is document allowances per tier, so volume moves you up.
AutoEntry — best for Sage and bank statements
From about $13 per month for 50 credits up to around $298 for 1,500. One credit per invoice, two if you want line items, three credits per page for bank statements, and unused credits expire after 90 days.
Owned by Sage, so it is the natural choice if Sage is your ledger, and it handles bank and supplier statements that most competitors do not. The credit model is the thing to model carefully before committing.
ZapBooks — best flat-rate capture for QuickBooks and Xero
$29 per month up to 100 invoices, $99 per month unlimited. Reads your mailbox directly with read-only OAuth rather than relying on forwarding, extracts line items at no extra cost, applies per-vendor coding rules, detects duplicates and offers approval workflow and PO matching on the higher plan.
It does not pay vendors, does not do receipts by mobile app, does not fetch bank statements and does not support Sage. If any of those are load-bearing for you, something else on this list fits better.
Melio — best for free bill payments
Free Go plan for one user, then Core at about $25 per user per month, Boost at $55 and Unlimited at $80. Free ACH payments are the draw, plus the ability to pay by card vendors who only accept checks.
Capture is header-level and light. Many businesses run Melio for payment alongside a proper capture tool, which works well as long as only one of them owns bill creation in your ledger.
Ramp — best if you want the corporate card
Free plan at $0 per month with bill pay included, and Ramp Plus at about $15 per user per month for multi-entity and custom workflows. Genuinely free if you run spend on Ramp cards and pay from a Ramp Business Account; outside that, standard ACH is around $0.59 and checks around $1.99.
The economics are a card interchange play. If you want the card, this is an excellent deal. If you do not, you are migrating your banking to solve a data entry problem.
BILL — best all-in-one for teams with approvers
Essentials at $49 per user per month, Team at $65, Corporate at $89, Enterprise on quote. Transaction fees on top: about $0.59 per ACH, $9.99 per USD international wire, 2.9 percent for virtual card.
Capture, deep approval policies, payment execution and a vendor network in one platform, with QuickBooks and Xero sync from the Team tier upward. Priced per seat, which is what pushes small teams to look elsewhere.
Stampli — best for collaboration-heavy AP
Quote-based; third-party estimates put it roughly in the $250 to $1,500 per month range depending on volume and modules. Its differentiator is keeping approval conversations attached to the invoice, plus an AI coding assistant and deep routing.
Right once AP is a department with policies. Overkill for a five-person company on QuickBooks.
AvidXchange — best for high volume and vertical workflows
Quote-based, with independent analyses putting first-year cost roughly between $25,000 and $40,000 including implementation. Built for real estate, construction, HOA and healthcare AP at thousands of invoices per month, with a supplier payment network and broad ERP coverage.
If you are under fifty employees and being quoted this, you are being sold to the wrong segment.

Picking in five questions
- 1Are you on Xero with fewer than about thirty simple bills a month? Use Hubdoc. It is free and adequate.
- 2Do photographed receipts make up a meaningful share of your documents? Dext.
- 3Is Sage your ledger, or do you need bank statement capture? AutoEntry.
- 4Do you want a corporate card and a spend platform? Ramp.
- 5Is the actual problem that someone types invoices into QuickBooks or Xero every week, and you want that gone at a flat price? That is what ZapBooks is for.
And if you have three or more approvers with different authority levels, an ERP beyond QuickBooks or Xero, or invoice volume in the thousands, skip all of the above and look at BILL or Stampli.
How to actually test one
Do not evaluate on feature lists. Take ten of your own invoices, deliberately including the worst ones, run them through a trial, and check six things:
- Did it capture every line item, or flatten multi-line invoices?
- Did it match vendors to your existing supplier list or create duplicates?
- Did tax land on its own line at the right rate?
- Did it catch a duplicate you deliberately included?
- How long did the review take, timed rather than estimated?
- What did it do with the invoice that arrived as a portal link with no attachment?
That hour tells you more than every comparison table on the internet, including this one, because extraction quality on your specific vendors' layouts is the entire product and nobody can tell you that in advance.
